A Corporate Offsite in San Blas: Small Teams, Private Boats

How to plan a leadership offsite, team reward or client day in Guna Yala on a private boat or a small-group VIP day: group size, agenda and etiquette.

The best offsites are the ones where people forget, for a few hours, that they are at work. A meeting room in a hotel rarely manages that. A boat in Guna Yala does it almost immediately: once the coast falls behind and the first island comes into view, the conversation changes. This guide is for the person organizing a small leadership offsite, a reward day for a team that hit its goals, or a day with an important client, and who wants it to run without surprises.

Start with the size of the group

The format follows the headcount, so settle it first.

Up to six people: a private boat

For a leadership team, a founders’ day or a client and their partners, the Private Boat Day reserves the whole boat for up to six guests, with a dedicated captain and Guna guide. Nobody else boards, the route is planned with your group on the morning, and one price covers the boat. Conversations stay private, the pace is yours, and there is no need to share the deck with strangers while discussing next year’s plan.

If the group wants something more memorable than island-hopping, consider a Cayos Holandeses private charter. The crossing to the outer reef is the longest of any route, and the reward is the clearest water in the archipelago and a real sense of distance from the office.

Up to ten: a small-group day

For a slightly larger team that is happy to share the boat, the VIP Day caps the boat at ten guests in total. It visits four islands and the Piscina Natural sandbar, and in the afternoon a guide from the community leads a walk through an inhabited Guna village. For teams that work across cultures, that visit can become the part of the day people talk about afterwards. Since the cap is ten guests in total, a team close to that number would fill most of the boat; ask us on WhatsApp how to book it for your group.

Larger than that

If your team is bigger than these formats allow, write to us on WhatsApp at +507 6468-4720 before you plan anything else, and we will tell you honestly what is possible on your date.

What is included, and what to plan for yourself

Every format includes the same core: pickup at 5:00 AM from your hotel in Panama City in a 4x4, the drive to the coast at Carti and the boat crossing, a local Guna guide, lunch on the island with a drink, and snorkel gear. The private formats add a dedicated captain and a boat for your group alone.

Not included:

  • The Guna Yala entry tax, which the community collects in cash on the day. Collect it from the team in advance, or bring it in one envelope. The current amount is on our FAQ page.
  • Alcoholic drinks. Your group can bring its own, in cans or plastic only. Glass is not allowed on the boat.
  • Anything specific to your event: printed materials, branded items or gifts are yours to bring.

Designing the agenda

The temptation is to fill the day. Resist it. The islands work best as a reset, not as a conference venue.

One conversation, not a workshop

If you want to use the day for strategy, choose one question and give it one hour, ideally on the sand after lunch when everyone is relaxed. A printed one-page note is easier than a laptop on a beach. Everything else can wait until you are back in the city.

Plan for being offline

Guna Yala is not the place for video calls. Tell the team in advance that the day is offline, set auto-replies, and appoint one person to check messages at a single agreed point if something truly cannot wait.

Give people a choice

Some colleagues will want to snorkel the whole time, others will want to sit in the shade and talk. On a private boat, your captain and guide can plan the stops so both happen. That freedom is part of what makes the day feel like a reward rather than an obligation.

Logistics the organizer should own

  • Names and passports. Everyone needs an original passport; identification is checked at the entrance to the territory. Send us the guest list when you book.
  • Hotels. Pickup is at 5:00 AM from the hotel. If the team is spread across several hotels, send us every address when you book and we will confirm how pickup works.
  • Dietary needs. Lunch is served on the island. Collect allergies and preferences in advance and send them to us.
  • A note to the team the day before: early alarm, swimwear, sunscreen kind to reefs, hat, towel, change of clothes, cash for the entry tax, and a dry bag for phones.

Etiquette in Guna Yala

A corporate group is very visible on a small island, and how it behaves reflects on your company. Guna Yala is an autonomous territory governed by the Guna community, with its own rules.

  • Ask before photographing people, especially if images might end up on company social channels. Your guide can help you ask.
  • If you want to fly a drone for a company video, ask us on WhatsApp before the trip.
  • Keep the volume down near inhabited islands and in the village.
  • Take every bottle, can and wrapper back with you on the boat.

After the day

The boat brings the group back to the coast and the 4x4 returns everyone to the hotel. Keep the evening simple: a relaxed dinner is the right way to close a day that started at 5:00 AM. If you are comparing private options, our private charters page shows all three side by side.
